Automate your Zoho CRM data backups
Zoho CRM is one of the most reliable cloud-based platforms for managing your customer data. It's built on secure infrastructure, with redundant data centers and daily backups handled on Zoho’s end. But even with all that in place, there’s still a good reason to keep your own copy of your CRM data.
Why back up your Zoho CRM data?
Because having a local backup gives you peace of mind.
Zoho performs automatic daily backups and retains them for up to 90 days. However, those backups are not directly accessible to you. If you ever need to reference historical records, prove compliance, or protect against accidental data deletion, having your own data backup is a smart move.
Plus, data retention policies can change, and there’s always the small chance of sync errors, third-party app issues, or human error wiping out something important.
Good news: Zoho CRM lets you back up your own data.
If you're on Zoho CRM Enterprise edition or using Zoho One, you can download full CRM backups—either manually or on a recurring schedule. These backups include all your module data and even your file attachments.
Here’s how to do it:
Step 1: Go to Setup
Click the gear icon in Zoho CRM to enter the Setup area. (In the new UI, it's at the bottom left. In the old UI, it’s still in the top right.)
Step 2: Search for “Data Backup”
Type “Data Backup” into the search bar. Click the result to access the data backup screen.
Step 3: Choose Your Backup Option
You’ll see options to:
Download a backup immediately
Schedule automatic backups (weekly, monthly, or twice a month)
Pick the frequency that works for you. Twice-a-month backups are included at no extra cost.
Step 4: Download Your Files
When your backup is ready, you’ll receive an email with links to download the files. The ZIP file includes your CRM record data and any related attachments, neatly organized and ready for safekeeping.
It only takes a minute to set up, and it could save you hours (or worse) down the road.
Keeping a regular backup of your CRM is one of those small tasks that can make a big difference if anything ever goes wrong.
