Every minute you spend jumping between apps is a minute not spent serving customers. If you run QuoteWerks for quotes and Zoho CRM for customer records, linking the two cuts out manual work and errors. Below, you’ll find a simple guide that walks through each screen, offers tips for a smooth setup, and shows how to verify the connection so you can spend more time on sales.


Why Link QuoteWerks and Zoho CRM?

Connecting your quote tool and your CRM has real benefits for small and mid-sized businesses. First, it saves clicks. When QuoteWerks can send quote data straight into Zoho CRM, you avoid exporting files and importing them manually. Second, it cuts mistakes. A direct link means you don’t mistype customer names or miss fields. For consultants and business owners, that leads to fewer support tickets and faster follow-up.


Step 1: Open Your Preferences

Start in QuoteWerks. Use your normal login, then go to Tools → My Preferences → Contact Manager. On that tab you’ll see two buttons: Manage User Access to Zoho and Clear User Credentials. If you tried this before and ran into trouble, click Clear User Credentials first. Otherwise, move on to Manage User Access to Zoho.


Step 2: Request Access in Your Browser

Click Manage User Access to Zoho. A new window will pop up with Request User Access to Zoho. Click it. If you’re already signed into Zoho CRM in that browser, you’ll jump to a screen showing your orgs. If not, you’ll get a login prompt. You can copy the URL into a browser where you’re already signed in, but it’s usually faster to log in right there.


Step 3: Choose Your Production CRM

On the org selection screen, pick your production instance – not a sandbox or dev account. It will show your company name. Click Submit. Next, you’ll see a permission page. Grant the rights QuoteWerks needs to read and write data. When you see Connection successful, close that window and go back to QuoteWerks.


Step 4: Retrieve Your Access Token

Back in the Contact Manager tab, the Retrieve Access Token button is now active. Click it. Watch for the status to change to Connected. Then click Test Connection. If the popup says you’re connected, you’re done. You can close any dialogs and start syncing quotes with CRM records without extra logins.


Troubleshooting Tips

• If Retrieve Access Token stays greyed out, clear your credentials and retry.
• No browser window? Check for any popup blockers and allow popups from QuoteWerks.
• Picked the wrong org? Repeat the browser steps and select the right one.
• Test errors? Grab the error message, clear credentials, and start fresh. Most errors fix when you grant new permissions.

Bringing It All Together

Once you finish these steps, every new quote in QuoteWerks can flow into Zoho CRM under the right account and contact. You reduce duplicate records and skip manual exports. Your team spends less time on admin and more time with customers. That small setup saves hours over a quarter and keeps data clean.
